  • Permanent full-time position working 40 hours per week

About the Role

We are seeking an organised and detail-focused Clinical Records Officer to join our Clinical Records team. This role plays a vital part in ensuring the accuracy, integrity, security, and accessibility of patient information to support high-quality patient care and service delivery.

Working within Mental Health Services, you will provide efficient records management, data integrity support, and administrative services while ensuring compliance with legislative requirements including the Privacy Act and Health Information Privacy Code.

This varied role requires excellent organisational skills, strong attention to detail, and a commitment to delivering a high standard of customer service.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Responsibilities include:

  • Processing requests for patient records and health information in a timely and accurate manner.
  • Managing the receipt, tracking, storage, and retrieval of clinical records.
  • Maintaining accurate electronic and paper-based patient records.
  • Creating and maintaining psychology test files and mental health correspondence files.
  • Combining and volumising records to ensure patient information is complete and accessible.
  • Maintaining the computerised medical records tracking system.
  • Filing, tracking, and auditing clinical records to ensure data accuracy and compliance.
  • Providing high-quality reception, telephone, and administrative support services.
  • Supporting data integrity activities, including:
    • New NHI registrations
    • Updating patient demographic information
    • Maintaining General Practitioner details
    • Investigating potential duplicate registrations
    • Responding to Ministry of Health identity-related enquiries.

About you

Skills and Experience

Essential:

  • Proven experience in an administrative role within a complex organisation.
  • Excellent computer skills, including proficiency in Microsoft Word and Excel.
  • Strong organisational and time management skills with the ability to prioritise competing demands.
  • Exceptional attention to detail and commitment to accuracy.
  • A customer-focused approach with excellent verbal and written communication skills.
  • Ability to work effectively both independently and as part of a team.
  • Ability to organise, maintain, and disseminate information efficiently.
  • Commitment to developing an understanding of Te Tiriti o Waitangi and cultural competency in healthcare.
  • Professional and positive approach to teamwork and self-care.

Desirable:

  • Knowledge of National Health Information Systems and Patient Management Systems.
  • Experience with terminal digit filing systems.
  • Understanding of the Health Information Privacy Code.
  • Previous experience within healthcare or community health services.
  • Knowledge of medical terminology.
  • Experience working with clinical records or patient information.
